Viewing your event guest list

Find your guest list

You can view everyone who has registered for your event from your organiser dashboard. This list shows all confirmed guests, their party size, and whether they have been checked in at the door.

  1. Open the Crowdstack app and go to Events.
  2. Tap the event you want to manage.
  3. Select Guests from the event menu.

You will see a searchable list of every person on your guest list. The list updates automatically as new registrations arrive.

Understanding guest status

Each entry in your guest list shows the current state of that registration:

  • Registered: The guest has signed up but has not yet arrived.
  • Checked in: The guest has been scanned or marked present by your door team.
  • Cancelled: The guest has withdrawn their registration.
  • No show: The event has ended and the guest did not attend.

The summary bar at the top of the page displays total expected guests, arrivals, VIPs and promoter-attributed bookings. If you need to find a specific person, use the search bar at the top of the list. You can filter by admission status, arrival state or VIP nomination.

Managing individual guests

Tap on any guest's name to see their full profile. From here you can:

  • View their party size and registration time.
  • Manually adjust their admission status (confirm, waitlist or decline).
  • Update their VIP status or add door notes.
  • Remove them from the list if required.

Note that editing guest profiles, viewing relationship history and adding private notes requires an Organizer Core or Pro subscription.

Bulk actions

You can select multiple guests using the checkboxes next to their names. Once selected, use the bulk action menu to:

  • Confirm or remove VIP status.
  • Mark guests as no-shows.
  • Approve places or move guests to the waitlist.
  • Decline place requests.

Door team access

If you have assigned staff to work the door, they can also view the guest list but only through the dedicated Door Scanner interface at /door. Door staff see a simplified view focused on fast check-ins and cannot edit campaign settings or billing details.
