Message your guests before an event

Send event messages

You can send announcements and reminders to guests who have registered for your event. This helps you share important entry instructions, schedule changes or build anticipation before the doors open.

Messages are sent as service emails from Crowdstack. Guests receive a branded email with your event title and a direct link back to their registration details.

Start a conversation

  1. Open your organiser dashboard and select Events.
  2. Tap the event you want to manage.
  3. Select Guests from the event menu.
  4. Find the guest you wish to contact in the list.
  5. Tap the message icon next to their name.

If you have not messaged this guest before, Crowdstack creates a new conversation thread. If you have chatted previously, it opens your existing history.

Compose and send

Once the conversation window is open:

  1. Type your update in the message field.
  2. Review the content for clarity.
  3. Send the message.

The system delivers the content as an email notification. The subject line automatically includes your event name so guests can easily identify the source.

Message types

Crowdstack distinguishes between two kinds of pre-event communication:

  • Announcements: General updates about the event, such as dress code changes, location maps or set times.
  • Reminders: Time-sensitive notifications sent closer to the start time to reduce no-shows.

Both types include a call-to-action button that allows the guest to view their QR pass and entry instructions immediately.

Requirements

Messaging guests requires an active organiser subscription. If you are on the Free plan, you will see an option to compare plans when attempting to access advanced guest profiles or messaging tools.

Ensure your workspace billing is up to date to maintain access to guest communication features.
