Manage table bookings and enquiries

Overview

Crowdstack lets you accept table requests from guests and manage promoter commissions on table spend. You can enable requests on your event page, review enquiries in your workspace, message guests by WhatsApp, Telegram or email, and import venue closeout sheets to calculate commissions automatically.

Table requests and AI-assisted closeout imports require an Organizer Pro subscription. Basic table enquiries without AI imports are available on Organizer Core if your workspace has enabled table requests.

Enable table requests for an event

  1. Open your event in the organiser app.
  2. Go to Tables or Audience settings.
  3. Turn on Public table requests.
  4. Add a short note explaining how guests should request a table (for example, minimum party size or expected spend).
  5. Save and publish your changes.

Guests will now see a request form on your public event page at /e/[publicSlug]. They must sign in to submit a request and verify a contact method (email, WhatsApp or Telegram).

Review table enquiries

  1. In your event dashboard, open Tables.
  2. Use the filters to view Outstanding, Confirmed or Closed requests.
  3. Select a request to see the guest's name, party size, expected spend, contact details and any notes they added.
  4. Change the status to Confirmed, Declined or Canceled as needed.

You can assign a table reference to confirmed requests so your door team knows where to seat the party.

Message guests about their request

Crowdstack records every message sent to a guest about their table request.

  1. Open a table request.
  2. Choose your channel: WhatsApp, Telegram or email.
  3. Send a transactional update (for example, confirmation details or a deposit request).
  4. View delivery status next to each message.

If you are on Organizer Pro, you may also send approved marketing templates to guests who have opted in. Estimated costs are shown before you confirm a bulk send. Messages sent within a provider-free service window do not consume paid credits.

Import venue closeout and allocate commissions

AI-assisted closeout imports are included with Organizer Pro. This feature reads your venue's end-of-night sheet and matches table spend to promoter engagements.

  1. Ensure managed promotion is enabled for your event and at least one promoter engagement allows table commission.
  2. In Tables, choose Import closeout.
  3. Upload your venue file (XLSX, CSV, PDF, JPG, PNG or WebP). The file must be under 15 MB.
  4. Crowdstack counts the AI pages used against your monthly allowance (up to 50 source pages per month) and begins processing.
  5. When complete, review each row: guest name, table reference, purchase amount and inferred commission.
  6. Adjust allocations between promoters if needed. The total allocation must equal 100%.
  7. Mark rows as Included, Needs review or Excluded.
  8. Save your decisions. Approved commissions flow into the campaign closeout for payment.

If you exceed your monthly AI page allowance, imports pause until the next period. You can still manage requests and message guests without importing.

Assign door staff for table seating

Door staff assigned to your event can see table references during check-in.

  1. Open your event and go to Door.
  2. Assign team members with the Door staff role.
  3. Share the table reference list with your team before doors open.

The Door Scanner at /door shows only the information needed to seat guests quickly. It does not expose billing or promoter earnings.

If a closeout import fails or a table request looks incorrect, open a support ticket from Help > Requests. Include your event name, the table reference and a brief description of the issue.
