Registration overview
Crowdstack is designed to remove friction from the guest journey. Once you publish an event, anyone with the link can register immediately. There is no approval gate for organisers or venues that delays a guest's entry.
Guests do not need to create a full account or remember a password to join your list. They can register using minimal details and receive a secure QR pass instantly.
How guests find your event
Guests typically arrive at your registration page through two main routes:
- Direct organiser links: You share your unique event URL (found at
/e/[publicSlug]) on social media, in messages, or on your website. - Promoter links: If you run a managed campaign, promoters share their attributable links. Guests who click these links are automatically attributed to that specific promoter for performance tracking.
The registration steps
When a guest clicks your event link, they see a mobile-optimised page tailored to your event's atmosphere (nightlife or daylight). The process involves three simple actions:
- Enter details: The guest provides their name, email address, and party size.
- Choose visibility: They can optionally opt in to make their attendance visible to others on the public attendee list. This is strictly opt-in; privacy is the default.
- Confirm: Upon submission, the system issues a cryptographically random check-in token.
No manual verification is required from your team at this stage. The guest is immediately added to your guest list.
Receiving the entry pass
Once registered, the guest receives their one-time QR token. This serves as their pass for entry. They can access this via:
- The confirmation screen immediately after registering.
- A service notification sent to their email or linked Telegram account.
The QR code contains a secure hash that your door team can scan using the Crowdstack Door Scanner app at /door.
Managing guest data
As an organiser, you can view registered guests in your workspace dashboard. Depending on your subscription plan:
- Free workspaces can view basic registration attribution and manage the list.
- Core and Pro workspaces gain access to guest history, CRM search, and export tools to analyse attendance patterns across events.
Guests retain control over their data. They can later choose to make their name private on the public list by proving possession of their original token.
