Checking guests in with the door scanner

Access the Door Scanner

The Door Scanner is a dedicated mobile surface designed for speed and reliability. It is separate from the main organiser dashboard.

  1. Open your browser on a mobile device.
  2. Navigate directly to /door.
  3. Sign in with your Crowdstack account.

You will only see events where you are explicitly assigned as door staff, or events you own or manage. Finance-only users cannot access this screen.

Start checking in guests

Select the live event you are working on from the list. The screen displays the total expected guests and the number who have already arrived.

Scan a QR code

This is the fastest method for registration.

  1. Tap the camera button to activate the scanner.
  2. Ask the guest to display their QR pass on their phone screen.
  3. Hold your device camera steady until the code is recognised.
  4. The system validates the token instantly.
  5. Tap once to confirm the check-in for the entire party.

If your device does not support native QR detection or camera permissions are denied, use the name search fallback.

Search by name

  1. Tap the search bar at the top of the event screen.
  2. Type at least two characters of the guest's name, email or phone number.
  3. Select the correct entry from the results.
  4. Tap to check them in.

Handling duplicate attempts

The system prevents double entries automatically. If a guest attempts to check in again, or if multiple door staff scan the same code:

  • The scanner will not create a second record.
  • You will see a message confirming the guest is already checked in.
  • No further action is required.

Working offline

The Door Scanner is built to function through weak or temporary loss of connectivity.

  • If the internet connection drops, the device queues your check-in operations locally on the device.
  • Each operation receives a unique identifier to prevent duplicates.
  • Once connectivity returns, the device synchronises the queue automatically.
  • You can continue working without interruption during the outage.

Correcting mistakes

If you check in the wrong person or make an error:

  1. Locate the guest entry in the list.
  2. Select the option to undo the check-in.
  3. You must provide a short reason for the reversal.

The original record is not deleted. It is marked as void, and an audited entry is added to the history explaining the change. This ensures an accurate trail for closeout and reporting.
