What happens when my event reaches capacity?

Capacity and guest lists

Crowdstack does not automatically stop guests from registering or block your event page when you reach a specific number of sign-ups. The platform keeps registration open so you can maintain momentum and manage your list flexibly up to and during the event.

Because there is no automatic 'closed' state triggered by numbers, reaching your venue capacity is an operational decision for you and your door team rather than a software limitation.

Managing a full event

When you know you cannot accept more guests, you have three options to control attendance:

  1. Pause promotion: Stop sharing your guest-list link or ask your promoters to pause their campaigns. Existing guests can still see the event, but new inflow will reduce.
  2. Communicate clearly: Update your event description or send an announcement to let potential guests know the event is at capacity. This manages expectations before they arrive.
  3. Control the door: Your door team retains full control over who enters. Even if a guest has registered, door staff can deny entry if the venue is physically full.

Checking in when full

The Door Scanner at /door does not prevent you from checking guests in because an event is 'full'. It simply records who arrives.

If you are at capacity:

  • Continue to scan valid QR codes for VIPs, ticket holders or priority guests you wish to admit.
  • Use the search function to find names on the list.
  • If a guest arrives without a reservation or is lower priority, your door staff can simply choose not to check them in. No entry is recorded unless you tap to confirm it.

This approach ensures you never accidentally lock out important guests due to an automated limit, while giving you the final say on who enters your venue.
