How to create and publish an event

Create your event

You can create and publish an event directly from your mobile device. The process is designed to be fast, requiring only essential details before your event goes live.

Step 1: Enter basics

The first screen asks for the core identity of your gathering:

  1. Enter your event name.
  2. Choose an atmosphere. Select nightlife for dark, cinematic styles or daylight for light, editorial layouts. This sets the visual theme for your public page.

Step 2: Set venue and time

  1. Search the shared venue directory. If your venue exists, select it to prevent duplicates.
  2. If the venue is not listed, you may create an unclaimed venue record immediately. You do not need venue approval to publish.
  3. Set your start and end times. These are stored in UTC with your local time zone applied for display.

Step 3: Review and save

  1. Review your details.
  2. Save the event. Your event is now created as a private draft.

Publish your event

Once the draft is saved, you can make it public instantly.

  1. Open the event setup page from your dashboard.
  2. Select Publish.
  3. Crowdstack generates a public route (for example /e/[slug]) where guests can register.

Guests can now register their name, email and party size without needing manual approval from you or the venue.

Next steps after publishing

After publishing, you can complete your operational setup:

  • Assign door staff: Grant specific team members access to check in guests. Note that finance-only users cannot access guest lists or check-ins.
  • Add guest list entries: Manually add VIPs or comp lists.
  • Access the Door Scanner: Open the dedicated scanner at /door to manage arrivals on the night. This surface shows only events you are assigned to.
  • Enable managed promotion: If you are on a Core or Pro plan, you can invite promoters and create attributable campaign links.

Your event remains published even if your subscription status changes, though access to advanced promotional tools depends on your current plan.
