Overview
As an independent promotion supplier on Crowdstack, your earnings depend on verified attendance. You do not get paid for clicks or sign-ups alone; you get paid for guests who register through your link and actually attend the event.
This guide explains how to track your performance from the moment you accept a campaign to the final closeout.
Accepting a campaign
Before you can track anything, you must formally accept the campaign terms.
- Go to Campaigns in your promoter dashboard.
- Review the event details and the specific terms offered by the organiser.
- Accept the engagement to activate your unique attribution link.
Once accepted, your profile is linked to that specific event. Any guest who registers using your link will be attributed to you.
Monitoring registrations
Your attributable link is the primary tool for driving attendance. You can share this link via social media, messaging apps or direct contact.
To see who has registered:
- Open the Guests tab in your promoter navigation.
- Select the specific event campaign.
- View the list of guests who have registered through your link.
This list shows you potential earnings. However, these figures are currently estimated. Registration alone does not trigger payment. The guest must present their QR pass at the door and be checked in by the event staff.
Tracking confirmed attendance
Attendance is validated at the venue entrance using the Crowdstack Door Scanner.
- When a guest you referred arrives, door staff scan their QR code or search their name.
- Once the guest is marked as "checked in", your registration converts to confirmed attendance.
- Your dashboard updates to reflect this change.
You can verify confirmed numbers by visiting the Campaigns section and selecting the active event. The system distinguishes between total registrations and verified check-ins. Only the verified check-ins count towards your final invoice amount.
Understanding earning states
Crowdstack uses a clear lifecycle to show where your money is in the process. You will see your earnings move through these stages:
- Estimated: Guests have registered but the event has not ended, or they have not yet been checked in.
- Under review: The event has finished. The organiser and Crowdstack operations are validating the check-in data and resolving any exceptions.
- Approved: Performance is locked. The agreed rate per head has been applied to your verified attendance.
- Awaiting invoice: You need to submit an invoice for the approved amount, or accept a self-billing document.
- Payable: Your invoice is accepted, and the amount is queued for payment.
- Paid: The funds have been transferred to your nominated payout destination.
Exceptional states may include Adjusted, Rejected or Disputed if discrepancies are found during review. Never treat estimated figures as cash in hand. Financial truth is only established once the status reaches Approved or Payable.
Post-event closeout
After an event ends, there is a defined window for closeout review. During this time:
- Organisers may adjust for no-shows or duplicate entries.
- Crowdstack operations may flag suspicious activity.
- Your earnings may move from Under review to Adjusted or Rejected if discrepancies are found.
Once the snapshot is locked, you will be notified to submit your invoice. Ensure your payout details and tax information are up to date in your Profile to avoid delays during this stage.

If your registration numbers look incorrect or a check-in is missing, contact the organiser directly through the campaign page before the closeout window locks. After locking, disputes must be raised through Crowdstack operations.
